Information every application needs

Use the current version of each item.

Information What to provide
Brand and provider Brand name and the legal entity responsible for the product or resource.
Product identity Official name, model, edition or version; include identifiers used on the product or service.
Intended use The task the product serves, its intended users and relevant limits.
Market Countries or markets in which the submitted version is available or offered.
Labels and packaging Complete, readable copies of the information supplied with a physical product.
Instructions Use, installation, cleaning and maintenance information, as applicable.
Product images Clear images of the actual product, identifying details and components included.
Product link The official page identifying the product or version being submitted.
Public description A concise, factual description proposed for publication if recognized.

Books and digital resources need identifying content and authorized review access instead of physical-product packaging where those items do not apply. Explain why an item is not applicable rather than leaving its status unclear.

Match each important claim to evidence

List important claims separately and identify the document or link that supports each one. Include the relevant page or section so it can be found.

For a report or study, show its title, date, issuer, subject and the product or version assessed. The method and limits should be clear. If it refers to a component or a related model, explain its relevance to the finished product submitted.

Examples of a useful evidence match:

  • A compatibility claim identifies the permitted equipment and is supported by the relevant instructions.
  • A cleaning or temperature claim identifies the conditions and is supported by product-specific documentation.
  • A learning claim distinguishes the activity’s purpose from any claimed measured outcome.
  • A material claim identifies which components it concerns, rather than implying that all parts are identical.

A general company certificate, an unrelated model report or a customer testimonial may not support the particular claim. If evidence is limited, narrow the claim to what the material actually addresses.

Additional information by category

Use this table alongside the category page. Some items apply only when a product has the relevant function or claim.

Do not submit a document merely because it is used by another product category. If a requirement is relevant to your product or market, supply the applicable evidence and identify its scope.

Upload PDF, JPG, PNG, WebP or AVIF files. Each file may be up to 20 MB, with a maximum of 100 MB for the application. Use PDFs for multi-page documents and make sure the text is readable.

Use clear file names that identify the document and product version. Password-protected or unreadable files cannot be assessed unless suitable access is arranged.

Videos are optional and may be supplied through an authorized link. The link should work without a personal account and remain available during review. Demonstrations supplied by an applicant are supporting materials; they are not tests performed by NPF.

Do not upload executable files, HTML or SVG files as application evidence. If an upload fails, retry it before submitting and check that the correct file appears in the attachment list.

Public information and confidential materials

The application separates the product information proposed for publication from private review materials.

A recognized product’s public record may include its name, brand, model or version, category, intended users, approved description, approved image, award year and record status. Contact details and supporting reports are not published as part of that record.

All uploaded review materials are held privately. If a document needs particular handling, explain that in the claims and evidence information. Do not include unrelated personal information, customer records, children’s identifiable images or medical details. You must have permission to share any material submitted.

Common gaps to correct

Check these points before submitting:

Gap How to correct it
The name or model differs across documents Identify the submitted version and explain any alternate names. Replace documents that describe another product.
Instructions are older than the product Supply the current instructions and explain relevant changes.
A link cannot be opened Arrange authorized access and test the link outside your own account.
A report does not identify the submitted product Explain the relationship with supporting information, or supply the relevant report.
A claim has no supporting reference Add the relevant material or revise the claim to reflect what can be supported.
Packaging images are incomplete Include readable images of all relevant label and warning information.
The public description contains a broad endorsement Describe the product’s actual purpose and features. Do not claim recognition before a decision.

If information is missing after submission, the request for information will identify what is needed. Providing a response does not by itself indicate that the product has been recognized.

Save the guide and apply

The downloadable guide contains the same preparation guidance for use when gathering materials. Use the checklist for a final check, or send a specific question about evidence before applying.
